Position Overview
Our client is seeking a reliable and organized Administrative Assistant with QuickBooks experience to support the day-to-day operations of a growing small business. This position will play a key role in helping the owner manage administrative tasks, maintain financial records in QuickBooks, and support office communication.
The ideal candidate is detail-oriented, comfortable working in QuickBooks, and able to take ownership of routine administrative and accounting support tasks.
Key Responsibilities
- Enter checks and financial transactions into QuickBooks
- Send monthly recurring invoices to customers
- Process weekly payments to technicians
- Assist with Accounts Receivable follow-up, including contacting customers with past-due invoices
- Manage email communication and maintain the Outlook calendar and schedule
- Provide general administrative support to the business owner
- Assist with document organization and record keeping
- Answer incoming calls and respond to inquiries as the role develops
- Eventually help schedule customer inspections and appointments
Qualifications
- Experience using QuickBooks is required
- Administrative or office support experience preferred
- Accounts Payable / Accounts Receivable experience is a plus
- Strong organizational and data entry skills
- Comfortable communicating with customers regarding invoices or payments
- Proficiency with Microsoft Outlook, email, and basic office software
- Ability to learn new processes and take initiative in a small business environment
Work Environment
This is a growing small business where the Administrative Assistant will work closely with the owner and help take over several day-to-day administrative functions. Training will be provided for processes currently handled by the owner.
